Introduction
Scope and organization of the manual
The manual seeks to fulfil two specific functions. Firstly, it provides a full description of the structure and
content of Talis MARC general records, to enable the manipulation of the records to support a variety
of bibliographical functions. Talis records have a variety of manifestations dependent upon the
various processes undertaken at Talis. The manifestation described is that of an exchange record such
as is supplied on magnetic tape to support Talis and non- Talis systems.

The second function is that of a cataloguer's reference manual of practice. It should be noted that only
currently used fields are described and that local fields and holdings data fields, held as discrete records
are excluded. For each field, details of indicators and subfields are given together with appropriate notes
and examples. Definitions of terms such as 'Field' and 'Indicator' may be found in Appendix C:
Glossary in the printed manual. Attention is drawn to Appendix E which contains a statement of the minimum input standard.

Background and principles of the Talis MARC format
The Talis MARC format is a standard for the representation of bibliographic information held in a
machine readable form. It is capable of describing all physical forms of library materials.

Although differing from other MARC formats in some respects, it is an implementation of the currently
relevant British Standards such as "File structure and labelling of magnetic tape for information
exchange" (BS 4732 : 1988) (ISO 1001- 1986) and "Format for bibliographic interchange on magnetic
tape" (BS 4748 : 1988) (ISO 2709- 1981) and the various ISBDs.

Related documents
As noted above, one of the functions of the manual is that of a cataloguers manual of practice. In this
regard it directly relates to the current edition of AACR2 (Anglo- American cataloguing rules - 2nd ed.,
1988 revision. London : Library Association, 1988). However, and especially in a shared cataloguing
system, a further set of documents is required to more effectively describe the treatment of particular
bibliographic conditions or problems. These will be issued from time to time as discrete documents in a
series of "cataloguing practice notes".

Updating of the manual
Because of its nature as a standard, revisions to the manual, in part or in whole, will be issued in
exceptional circumstances only. Amendments to policy will be promulgated by the issuing of a new or
revised cataloguing practice note.

Components of a Talis MARC Exchange record
In most of the Manual the examples use the cataloguer input format (eg. tags followed immediately by data).
This section describes the format of Talis MARC records as they appear on exchange tapes.

Character codes
MARC records from Talis are available either in EBCDIC or modified ASCII 8 bit. See Appendix D
for details.

Control codes
Codes for delimiting data fields are as follows:
Subfield delimiter. Represented by *
Hexadecimal 1F

Field terminator. Represented by +
Hexadecimal 1E

Record terminator. Represented by #
Hexadecimal 1D

Note that the last field in the record does not have a field terminator; the record terminator terminates
both the record and the last field.

Record structure
On the Talis database the information about a book in a library is held in two separate records. The
general record contains the bibliographic information and the local record contains the holdings
information for that library, eg. copy numbers, sites, class number. The two records are associated by
having the same control number. Both records conform to the same basic structure, but the details given
here describe the general record only. Further information about local records is available on request from
Talis.

The structure of the Talis MARC record may be shown diagrammatically as follows.



The data in a Talis MARC record are organised into variable fields, each identified by a
three- character numeric tag that is stored in the Directory entry for the field.

Leader
The record leader is a fixed field of 24 bytes, and information is held at fixed positions within the field.
The information content of each character position is given below.

Record length (character positions 0- 4)
The record length given in character positions 0- 4 is the length, in characters, of the record leader,
directory and all variable fields including blanks, subfield delimiters, indicators, levels, field terminators
and record terminator.

Five bytes are reserved for this length, but if the record has less than five digits it is right- justified and the
remaining positions are filled with zeros. Although the record leader is able to hold record lengths of up
to 99, 999 characters the length of the record is limited to a maximum of 2048 characters.

Record status (character position 5)
The record status code consists of a single numeric character and is provided for file maintenance
purposes. Codes which may be present are:

1 New record
2 Additional fields amendment
3 Corrected fields
4 Deleted record
5 Replacement record - From external agency
6 Replacement record - Talis member input

Note that codes are input as lower case alphabetics which are changed to numeric characters when the
records are re- formatted from input format to Talis MARC. Currently, the only codes input are "n"
(new) "d" (delete) and "r" (replace).

Type of record (character position 6)
This indicates the type of material described by the record. A complete list is given in
Section 4: Cataloguer's manual of practice.

Class of record (character position 7)
This contains a single lower case character as follows

Indicator count (character position 10)
In Talis MARC two indicators are used. Thus in the Talis MARC record the indicator count is
always set at 2.

Subfield mark count (character position 11)
The subfield mark always comprises a delimiter (hexadecimal 1F) followed by a single lower case
alphabetic character. In Talis MARC records the subfield mark count is always set at 2.

Base address of data (character positions 12- 16)
The base address of data is the physical displacement of the first character of the first variable field
relative to the first character in the whole record. This is the equivalent of the number of characters or
bytes in the record before the variable fields. It is right- justified with leading zero fill. The base address
of data in a typical example can be calculated as follows:




Encoding level (character position 17)
A single- character code is used to indicate the degree of completeness of the record. Non- blank values
only occur in records supplied to Talis by external agencies. The following codes have been defined.

NABLA (TRIANGLE DOWN) Full level

Analytical record indicator (character position 18)
This position will contain "1" if the record includes analytical fields, otherwise it will contain a blank.

Source of record code (character position 19)
As records from a number of sources are held in the Talis database, a single character is provided to
allow the originating source to be identified.

General record designator (character position 23)
In order to distinguish records containing bibliographic data from those containing local holdings data, all
bibliographic records contain "g" in this position.

Directory
Each directory entry consists of 12 characters and refers to a corresponding variable field appearing in
the record. Every variable field has a directory entry: when a field has been repeated, a directory entry
exists for each.

A directory entry comprises four parts:




Tag
A tag is a three- digit code which defines the bibliographic function of the variable field to which it
applies. A summary list of tags and their meanings is elsewhere in this manual.

Level
This is a single character which is used to relate two or more variable fields which collectively describe a
bibliographic entity. This approach is required where a physical item contains two or more individual
works and analytical entries are required for each. The character used for non- analytical records is zero.
In the case of analytical records, those fields describing the work as a whole will have levels of zero;
those describing the first analysed work will have levels of 1, the next levels of 2.

Length of data field
This length is represented by three character positions which logically allows variable fields of up to 999
characters in length. This length includes all indicators, subfield marks and the field terminator. It is
right- justified with zero filling for unused character positions.

Starting character position (SCP)
The SCP is the displacement of the first character of the variable field relative to the first character of the
first variable field. It is right- justified with zero filling for unused character positions.

To convert this to a displacement relative to the start of the record is simply a matter of adding the SCP to
the base address found in the record leader.

Directory terminator
A field terminator (hexadecimal 1E) ends the directory.
Directory order
The directory is arranged in ascending order of tags. Where there are multiple entries with the same tag
they are arranged in ascending order of level; within that it is random.

Variable control fields
These contain data useful for record selection or special processing. A control field has neither indicators
nor subfields; it is simply a string of data. Those used in the Talis MARC record are:

001 Record control number
008 Information codes

A full description is given in section 4.

Variable data fields
These consist of data forming a bibliographic description with potential access points and other related
information. All fields start with two indicators (numeric or blank) followed by a subfield mark (a
delimiter (hex 1E) followed by a lower case alpha subfield code). All fields except the last end with a
field terminator; the last field does not have a field terminator - it ends with the record terminator. A
variable data field contains one or more subfields, each of which begins with a subfield mark.

Cataloguer's manual of practice
Introduction
The preceding section of this manual describes how information is held in the machine readable
record. This section describes how this information is put into the record. It is essentially a guide to
the bibliographic content and coding of Talis MARC records and is complemented by the series
of Cataloguing Policy Notes.

For each field, details of tag, indicators and subfields are given together with notes and examples.
Fields which are used only for monographs or only for serials are marked as such.

Very little punctuation is present in a Talis MARC record. As each of the subfield codes can be
given a punctuation or typographical value no explicit punctuation is given at these points. At
printed output, subfield codes can be converted to punctuation.

Examples in this section are shown in the input format where each field except the leader and
control fields comprises a 3- digit tag, a 1- digit level and 2 indicators, followed by one or more
subfields. In some examples more than one field is shown in order to give the context of the field
being exemplified.

This field contains a record control number of one of the following types, in order of preference:
1. ISBN
Whenever an International Standard Book Number is available for the item in hand it is used as
the control number.

Where the item is available in more than one format (eg. hardback and paperback) and an ISBN
has been assigned to each, the hardback ISBN is preferred as the record control number.

An ISBN is entered and held in Talis MARC records as a 10- digit string without the hyphens
or spaces which are often used to separate the constituent parts when printed in books. An ISBN
comprises:

(i) A 1- 3 digit group identifier
(ii) Publisher's prefix and title number of up to 8 digits
(iii) A Modulus 11 check digit. When this is "x" it is entered in lower case

2. BNB Number
If an item has no ISBN but does have a number in the British National Bibliography this is used as
the control number. It is constructed as follows:

(i) Prefix b (lower case)
(ii) Last two digits of the year of processing
(iii) A five character processing number of which the first may be an
an upper case alphabetic (right- justified and zero filled as necessary).

3. LC Card Number
Some items, mainly of US origin, which lack an ISBN may have an LC card number. This is
usually printed on the title- page verso. It is constructed as follows:

(i) Blank
(ii) Last two digits of the year of processing
(iii) A 6- digit processing number (right- justified and zero filled as necessary)
Care should be taken with selecting LC card numbers for input. With some multi- volume and
series items the LC number applies to the whole set.

4. Manufacturer's Number
This may be used for a sound recording or a videorecording. Some items carry both a continental
number and a British number. The continental number is all numeric and usually longer. The
British number typically has an alphabetical prefix and a numerical suffix. Prefer the continental
number since they are becoming predominant.

Enter the manufacturer's number preceded by an upper case 'R'. Use upper case for any
alphabetics in the manufacturer's number. Omit any non- alphanumeric characters such as
hyphens, slashes and spaces.

If the resulting control number is longer than 10 characters, reduce it as follows.
The manufacturer's number on the item is usually divided into sections by punctuation or spacing;
truncate the first section as necessary by removing rightmost character( s) (see examples 6 and 7
below).

If this produces a duplicate of an existing control number, assign a Local monograph number
to the new record.

5. Local monograph number
If a control number of types 1 to 4 is not available a Local monograph number will be used.
Ranges of these numbers are supplied by Talis. This number is constructed as follows:

(i) Prefix - lower case alphabetic
(ii) Six numerical characters
(iii) Check digit which may be a numerical character or a lower case "x"

6. ISSN
Whenever an International Standard Serial Number is available for the item in hand it is used as
the control number if the item is to be catalogued as a serial.

An ISSN is entered and held in Talis MARC records as two 4- digit numbers separated by a
hyphen. It is constructed as follows:

(i) Four numerical characters
(ii) Hyphen
(iii) Three numerical characters
(iv) Check digit which may be a numerical character or a lower case "x".

7. Local serial number
If no ISSN is available or the publisher of a serial has continued to use the original ISSN after the
title has been changed a Local serial number is used.

Ranges of these numbers are supplied by Talis. A Local serial number consists of six
numerical characters.

8. Cross reference control number
A special control number is used for a cross reference record. Its structure is similar to that of a
Local monograph number apart from the prefix which is an upper case "C".

9. Other system control numbers
Records from some external agencies have the agency's control number in field 001. These
numbers are not used to create new records within Talis. DSC record control numbers begin
with upper case 'G'. CILLA record control numbers begin with lower case 'vz'.

Codes 6, 7 and 8 signify that the cataloguing was not intended to conform to Talis current input
standards. They are not input in current cataloguing. Type 6 is assigned to records supplied by
Whitaker and also to records retrospectively converted by machine which were originally
catalogued with little or no reference to Anglo- American Cataloguing Rules. Type 8 is assigned to
other records emanating from retrospective conversion where the cataloguing is closer to AACR
and Talis standards.

Analytical record designator
Digit 1 will be entered if the record contains fields for analytical entries.

This is a fixed length field of 40 characters containing commonly sought information as a
series of codes. The data elements are positionally defined. The subfields shown are a batch
input convention and are not held in the MARC record. Some of the positions hold different
elements for monographs and serials, and are indicated as such in the following table.
Information following a slash pertains to serials.

Publication date Monographs
A one- character alphabetic code indicates the Type of date( s) given in the Date 1 and Date 2
areas which follow it. It is left empty in some open entry records produced under a Talis
control number.

s Single date. If the item is not a reprint or the first issue of a serial and has a
known or probable date of publication code "s" will be entered. The year of
publication (see AACR2 2. 4F) will appear as Date 1; it must be given as a
four- figure date of the Christian era. If it is a group date the earliest year will be
given. Date 2 will be four blanks.

Subsequent reprints or impressions of a work appearing with the same ISBN as
that of the original work and not constituting a new edition, are considered to
have the same date as the original, both in 260* c and under code "s" here as a
single date.

r Reprint date. The use of "r" is limited to cases where one publisher reprints
under its own imprint and ISBN the unchanged text of another publisher. Date
1 is the date of the reprint and Date 2 that of the original.

m Open date. If the record concerns the first issue of a serial code "m" will be
entered. Date 1 will be the year of the first issue and Date 2 will be entered as
9999.

z Pre- 1940 works in modern facsimiles. If the item is a modern facsimile of a
work first published before 1940, code "z" is entered. Date 1 will be the date of
the facsimile and Date 2 that of the original.

q Query. This code is entered when the precise date is not known and not
ascertainable. If any worthwhile conjecture can be made the earliest possible
year may be entered as Date 1 and the latest as Date 2. Otherwise both Date 1
and Date 2 will be four blanks.

Enter the appropriate year as four numeric characters. If the serial bears both a date of
publication and an indication of period covered by the contents (nominal date), the latter is

Ending date of publication (not input)
The same instructions as for the beginning date apply. If the serial is currently being
published the Ending date is represented by 9999.

Country of publication
A two character code is used to indicate the country of publication selected from the list in
Appendix A. Three character positions are allowed in the Talis MARC record for this data
element; the last position is blank.

1. If a place in the United Kingdom, with or without a British publisher, is named on a title
page where the primary imprint is non- UK, code "en", "wl", "st", "ui" or "ni" is entered as
appropriate.

2. If places in more than one non- UK country are named and there is no United Kingdom

ISDS Centre Serials (not input)
A one- character code indicates the International Serials Data System (ISDS) centre
responsible for assigning and maintaining certain data to a record. ISDS data typically
include the ISSN, key title, abbreviated key title and the 008 code for original alphabet or
script of title. This data element is currently not input and the position is blank in most
Talis MARC serials records.

Type of serial Serials
A one- character alphabetic code indicates the type of serial. The following codes are used.

m Monographic series. A group of separate items related to one another by the
fact that each item bears, in addition to its own title proper, a collective title
applying to the group as a whole. The individual items may or may not be
numbered. (AACR2).

n Newspaper. A serial publication containing a broad range of news on all
subjects and activities and not limited to any specific subject matter.

p Periodical. A serial appearing or intended to appear indefinitely at regular or
stated intervals, generally more frequently than annually, each issue of which
normally contains separate articles, stories or other writings.

NABLA (TRIANGLE DOWN) Other type of serial. This category includes yearbooks and annual reports.

Form of original publication Serials
A one- character alphabetic code denotes the physical medium in which a serial was originally
published. In cases where the serial is published simultaneously in more than one form, or
when it is difficult to determine the originally published form, the first item catalogued is
considered the original physical form.

Prior to 1994 this position was defined for serials as 'Physical medium', which is now the

Up to three one- character alphabetic codes indicate that a serial contains certain types of
materials. Generally, a specific code is used only if a significant part of the item is the type of
material represented by the code. The same code list as for 'Nature of whole work' is used.
Codes are recorded in the order shown in the code list. If fewer than three codes are assigned,
the codes are left- justified and unused positions contain blanks. If no codes are applicable, all
positions contain blanks.

Government publication
Digit "1" is entered here if the item is a government publication. A government publication is
defined as one which has:

(i) A government heading or,
(ii) A government added entry or,
(iii) A government publisher
The term "government" includes local, provincial, state, national, federal, international and
any other categories of government.
